How to use labels in o365

In Office 365 (Microsoft 365), tagging or labeling a document is done using Sensitivity Labels or Retention Labels. Here’s a brief guide on how to do it:

Using Sensitivity Labels

  1. Open the Document:
    Open the document in Word, Excel, or PowerPoint.
  2. Access the Sensitivity Menu:
  • In the ribbon, click on the “Sensitivity” button. If you don’t see it, you might need to click on the “Home” tab first.
  1. Apply a Sensitivity Label:
  • From the drop-down menu, select the appropriate sensitivity label for your document. These labels are predefined by your organization’s IT administrator and might include categories like “Confidential,” “Internal,” or “Public.”

Using Retention Labels

  1. Open the Document Library in SharePoint or OneDrive:
    Go to your SharePoint document library or OneDrive where your document is stored.
  2. Select the Document:
  • Check the box next to the document you want to label.

  • Click on the “Details” pane (often found on the right side or by right-clicking the document).

Through Office 365 Compliance Center

  1. Access the Compliance Center:
  • Go to the Microsoft 365 Compliance Center (https://compliance.microsoft.com).

  • Depending on what you need, go to either “Information Governance” for retention labels or “Information Protection” for sensitivity labels.
