How to use labels in o365
In Office 365 (Microsoft 365), tagging or labeling a document is done using Sensitivity Labels or Retention Labels. Here’s a brief guide on how to do it:
Using Sensitivity Labels
- Open the Document:
Open the document in Word, Excel, or PowerPoint. - Access the Sensitivity Menu:
- In the ribbon, click on the “Sensitivity” button. If you don’t see it, you might need to click on the “Home” tab first.
- Apply a Sensitivity Label:
- From the drop-down menu, select the appropriate sensitivity label for your document. These labels are predefined by your organization’s IT administrator and might include categories like “Confidential,” “Internal,” or “Public.”
- Save the Document:
- Save the document to apply the label.
Using Retention Labels
- Open the Document Library in SharePoint or OneDrive:
Go to your SharePoint document library or OneDrive where your document is stored. - Select the Document:
- Check the box next to the document you want to label.
- Apply the Retention Label:
- Click on the “Details” pane (often found on the right side or by right-clicking the document).
- In the “Details” pane, find the “Apply label” section.
- Select the appropriate retention label from the drop-down menu.
Through Office 365 Compliance Center
- Access the Compliance Center:
- Go to the Microsoft 365 Compliance Center (https://compliance.microsoft.com).
- Navigate to Information Governance or Information Protection:
- Depending on what you need, go to either “Information Governance” for retention labels or “Information Protection” for sensitivity labels.
- Create or Manage Labels:
- Here you can create new labels or manage existing ones.
- Publish the Labels:
- Publish the labels to make them available for use in Office apps and SharePoint/OneDrive.
Additional Tips
- Permissions: Ensure you have the necessary permissions to apply labels. Your organization’s IT admin might need to grant these permissions.
- Policy Settings: Labels and their effects are defined by your organization’s policies. If you can’t find a label, check with your IT department.
These labels help manage the security, compliance, and governance of your documents within Microsoft 365.
